自行编制的收入记录与完整薪资服务

A self-prepared record summarizes a payment that already happened, while a payroll service runs employee payroll, handles filings, and produces employer records.
When is a payroll service the right answer?
Use payroll when the business has real employees. Employee wages bring payroll calculations, withholding deposits, employer taxes, filing deadlines, and wage records. A paystub generator cannot perform those jobs by turning entered figures into a PDF.
Gusto, OnPay, and ADP are examples of the full-payroll category. If Sam hires an employee and needs payroll filings during the year plus W-2s at year-end, that category is the right answer. This is a full concession: QuickStub does not file payroll returns, remit taxes, run direct deposit, or issue year-end tax forms.
An S corporation owner who works in the business also needs to take the wage question seriously. A self-prepared record does not create a compliant payroll run or settle reasonable compensation. The owner should use the payroll and tax process that fits the business, then keep any period record consistent with it.
When does a self-prepared payment record fit?
For Sam, the fit is narrow and useful: a solo operator has no employee payroll, takes an owner's draw or receives contractor income, and needs a period-level summary tied to the books. The summary records the transfer or payment. It does not replace Schedule C, the business ledger, a Form 1099, or the bank entry.
One clean record costs $2.99. That can make sense when the need is one current-period summary rather than a year of employer payroll operations. The record should use the amount, date, payer, payee, and classification already supported by the source documents.
An owner's draw must stay labeled as a distribution rather than wages. The draw itself has no Federal Insurance Contributions Act withholding line. Contractor income usually arrives without payroll withholding. Any tax figure on the self-prepared record is an estimate, not a filed result or money the payer sent to the government.
What does the yearly cost math show?
If Sam buys one single record in a year, the clean-PDF cost is $2.99. If Sam buys a separate single every month for 12 months, the arithmetic is 12 times $2.99, or $35.88. Both figures come from the live single-document price rather than a typed price in this article.
A payroll-service comparison needs a different formula: multiply the current monthly base fee by 12, add 12 times any monthly per-person fee for each worker, then include setup, filing, or year-end charges shown by that vendor. Check the vendor's current site before doing the math. This article does not insert a Gusto, OnPay, or ADP price because those prices are not in QuickStub's dated competitor registry.
The totals buy different work. A self-prepared record price buys a clean period summary. A payroll-service bill can cover the ongoing machinery required to pay employees and file payroll information. Comparing the totals without comparing the jobs would make the smaller number look more meaningful than it is.
| Need | Annual calculation | What it covers |
|---|---|---|
| One self-prepared record | $2.99 | One clean period summary |
| One single record each month | 12 x $2.99 = $35.88 | Twelve separately purchased summaries |
| Full payroll service | 12 x current monthly base fee, plus worker and other vendor fees | Employee payroll operations under the selected plan |
Which records should Sam keep with the summary?
For an owner's draw, keep the business-bank transfer, ledger entry, and the books that show owner equity. Schedule C may document sole-proprietor business income for the completed tax year, while the draw record shows when cash moved to the owner. Those are related facts, but they are not interchangeable.
For contractor income, match the period summary to an invoice, client payment, bank deposit, and any applicable Form 1099. Reconcile the amount before carrying it into year-to-date totals. If a deposit includes several invoices, keep a note that explains the split rather than forcing the bank line to look like one payment.
For a proof-of-income request, pair the self-prepared record with a tax return and bank statements. Ask the lender, landlord, or program which documents it accepts. QuickStub does not guarantee acceptance, and the recipient may require payroll records or another source instead.
How do you choose without buying the wrong tool?
Write down the obligation first. If the business must calculate wages, withhold and remit taxes, file payroll forms, and prepare W-2s, choose payroll. The fact that you also want a paystub does not shrink that obligation to document design.
If the business has no employees and the immediate need is to summarize one real draw or contractor payment, a self-prepared record may fit. Use the classification that matches the payment, check the figures against the books, and leave every estimate labeled.
Revisit the decision when the business changes. Hiring a first employee, electing a different tax treatment, or starting formal owner payroll can move Sam out of the simple-record case. A low-cost document should never delay the payroll setup the business now needs.
Questions about self-prepared records and payroll
Can QuickStub replace Gusto, OnPay, or ADP?
No. QuickStub prepares self-prepared payment records. It does not run employee payroll, remit payroll taxes, file payroll returns, or produce year-end W-2s.
When is a self-prepared owner's-draw record enough?
It can summarize a real distribution for a solo owner who is not using it as employee wages. Keep the record with the business transfer, ledger, tax return, and bank statements; the PDF does not establish the business's profit by itself.
How much do 12 single QuickStub records cost?
At the current single-document price, 12 separate purchases total $35.88. Packs or an annual plan are different products, so compare the live pricing page before choosing.
Why are payroll-service prices not listed here?
QuickStub's dated competitor registry does not contain Gusto, OnPay, or ADP pricing. Check each vendor's current site and calculate 12 months of base, per-person, setup, filing, and year-end fees that apply to the selected plan.
Can a lender treat a self-prepared record as employer payroll?
The record identifies itself as self-prepared and is not employer-issued payroll. Pair it with a tax return and bank statements, and follow the recipient's evidence policy. Acceptance is not guaranteed.
